Unit One Studios — Terms & Conditions

By booking a session, placing a deposit, or using [STUDIO NAME] ("the Studio," "we," "us") and its services or premises, you ("the Client") agree to the following terms.

1. Booking & Payment

  • A non-refundable deposit of 50% of the total project/session cost is due up front to reserve your date and time. Your booking is not confirmed until the deposit is received.

  • The remaining balance is due [on or before the day of the session / upon delivery — CHOOSE ONE].

  • Accepted payment methods: [list — e.g., card, Venmo, Cash App, cash].

  • Quoted prices do not include additional fees (travel/location, overtime, studio rental, or added complexity such as hired crew or outsourced post-production), which will be added to the invoice.

2. Cancellations, Rescheduling & No-Shows

  • Cancellations made within 4 hours of the scheduled appointment forfeit the deposit in full.

  • Cancellations made more than 4 hours in advance may [reschedule once / receive a deposit credit — CHOOSE ONE].

  • No-shows are treated as a same-day cancellation and forfeit the deposit.

  • The Studio will make reasonable efforts to accommodate rescheduling but cannot guarantee availability.

3. Late Arrivals

  • Sessions begin and end at the scheduled time. Late arrivals do not extend the session, and the full rate still applies.

4. Liability & Assumption of Risk

  • The Client and any guests enter and use the Studio premises, equipment, and any on-location set at their own risk.

  • To the fullest extent permitted by law, the Studio is not liable for any injury, loss, or damage to the Client, their guests, or their property occurring during a session or while on the premises, except where caused by the Studio's gross negligence or willful misconduct.

  • In all cases, the Studio's total liability for any claim is limited to the total amount the Client paid for the affected session or project.

5. Property & Equipment Damage

  • The Client is responsible for any damage to Studio property or equipment caused by the Client or their guests, and agrees to cover the cost of repair or replacement.

6. Client Conduct & Safety

  • The Studio reserves the right to refuse service or end a session immediately, without refund, in cases of unsafe behavior, intoxication, harassment, or abusive conduct.

  • The Studio reserves the right to decline any project involving illegal, hateful, or infringing content.

7. Minors & Guests

  • Anyone under 18 must be accompanied by a parent or legal guardian, who is responsible for supervising them at all times.

  • The Client is responsible for the conduct of all guests they bring.

8. Marketing & Promotional Use

  • The Studio reserves the right to photograph, film, and record sessions, and to use the resulting images, video, and audio for marketing and promotional purposes (website, social media, portfolio, advertising).

  • A Client who does not want their material used for marketing must notify the Studio in writing before the session.

  • Marketing use of any minor's likeness requires the prior written consent of their parent or legal guardian.

9. Ownership, Copyright & Licensing

  • Unless agreed otherwise in writing, the Studio retains copyright to all photos, video, and recordings it creates.

  • The Client receives a license to use delivered final files for personal/agreed use. Commercial or resale use requires separate written agreement.

  • Raw/unedited footage and session files are not included unless purchased as an add-on.

10. Delivery & Revisions

  • Estimated delivery: [e.g., 2–4 weeks; varies by project]. Timelines are estimates, not guarantees.

  • Each project includes [#] round(s) of revisions. Additional revisions are billed at [$ rate].

11. File Retention

  • The Studio retains project files for [e.g., 90 days] after delivery, after which they may be deleted.

  • The Client is responsible for backing up their delivered files. The Studio is not liable for loss of files after delivery or after the retention period.

12. Force Majeure & Equipment Failure

  • The Studio is not liable for failure to perform due to circumstances beyond its reasonable control (illness, equipment failure, severe weather, emergencies, etc.).

  • In such cases the Studio will offer to reschedule or refund the unused portion of payments, at its discretion. This is the Client's sole remedy.
